Note of a meeting of the Dounby Parent Group
held on 29th January 2009

Head Teacher Appointment
Marilyn Richards was introduced and discussed the forthcoming recruitment process for a suitable replacement for Hilary Morrell.
Adverts will be placed locally on 5th and 11th February with a closing date of End of February. Short leeting will take place on 9th March with interviews being held on 19th March.
Marilyn explained that the panel will consist of Education Staff, Local Councillor and 2 Parent Council/Group representatives.
The interview will consist of a 2 day process, part of which where the candidates get to visit the school and meet representatives from the Parent Group and parents.
Interviews will be held with minimum of 3 candidates. If less than this number applies, then post will be advertised locally for an acting up post.
It was agreed that both Kay and Barbara would sit on the Interview panel from the Parent Group.
There will be an opportunity on 18th March from 2-245pm for staff, parents and Parent Group representatives to meet the prospective candidates.
It was agreed that a letter would be sent to all parents, giving an option to put forward a question for this session or attend a meeting to discuss questions to pose to potential candidates.
A meeting to discuss these questions was agreed for 19th February at 630pm to discuss responses and questions, with a follow up meeting proposed for 26th February if necessary.
Marilyn and Carol left the meeting at this point.

Approval of Minute of Last Meeting
The minute of the meeting held on 11 th September 2008 were approved as an accurate record. These were proposed by Isla Dougall and seconded by Barbara Jennings. |

Matters Arising |

Co-opted Members – Invitation Invites were still to be sent to those agreed at the AGM.
Action: Georgie Clark to look into inviting these professionals to be co-opted members of the Dounby Parent Group |

It was agreed that Authorised Signatories should be changed to reflect election of Barbara Jennings as Vice Chair . |

Correspondence Received by Chair
Kay advised that she had received a questionnaire for completion which related to Statutory Body Information. This was completed by members of the group at the end of the meeting. |

Update from Head Teacher
Hilary reported on the following:
A Quality Indicator: How Good is Your School? A copy of this report is available from Hilary or obtainable via the school website.
Lawrence Bews was successful in his application for a Deputy Head Teacher post in Invergordon. He will be finishing at the Easter Break and his position will be covered by a supply teacher.
Book Club – new information circulated at meeting for decision to change current club. Information considered was received from Puffin and School Link. It was agreed by those present to change to the School Link Club.

Format of Meeting
A total number of 8 responses were received as a result of the questionnaire.
Out of those returned, all but 1 answered that they were well informed.
There was discussion about the most appropriate way of sending out information to parents. It was felt that not all parents receive paper notes that are sent home with the children.
It was decided that Hilary would put something out to parents asking for their preference of receiving this information. It was agreed that this would request that parents indicate how they wished to be kept informed either via email or with paper copies. It was highlighted that there was a “texting” service currently used at Stromness Academy to alert parents to any information sent home with children that required attention.
The current system of including the Parent Council Information in the “Information Pack” provided by the School was decided the most appropriate way to encourage new Parents to the meetings.
There was also discussion about having representation at the next Parents' evening.
Action: Kay to find out the date and inform members
Timings of these meetings were discussed and it was felt that future meetings would start at 7pm and finish by 830pm. |

Any Other Current Business
The Parent Group were asked by a parent that couldn't make the meeting why water was not offered at the dining table. Kay offered to look into this and will report back to members. |

Date of Next Meeting
It was felt that a meeting would be useful in May and the date would be set once the Parent's Evening had been arranged. |
